Upload and organize files in your media library

Last reviewed October 21, 2026

Keep your photos, logos, videos and PDFs in one place, in folders, ready to use on any page or email.

Upload a file once and reuse it anywhere: website pages, funnels, emails and forms. When you're done, your files are in tidy folders and easy to find.

Before you start

  • Time: 10 minutes to set up folders.
  • You'll need: your files, with clear names like jane-rivera-headshot.jpg or values-worksheet.pdf. Rename files before uploading; IMG_4471.jpg is hard to find later.
  • Where: in the sidebar, click Media (under CRM). The page is called Media Library.

Step 1: Make a few folders

  1. Click New folder at the top right and name it.
  2. If the folder doesn't appear straight away, refresh the page.
  3. Your folders show under FOLDERS on the left and as cards in the Folders row.

A simple set works for most practices: Brand (logos, icons), Photos, Website, Email, Downloads (PDFs and worksheets).

Step 2: Upload files

  1. Open the folder you want (click its card or its name on the left). The breadcrumb shows All files / your folder.
  2. Click Upload files, or drag files onto the page. You can choose several at once.
  3. Wait until every upload finishes before leaving the page, especially for video.

Common images (JPG, PNG, WebP, SVG, GIF), videos (MP4, MOV) and documents (PDF, Word, Excel) all work.

Step 3: Find and use a file

  • Filter by All, Images, Videos or Documents, or search by name. Filter and Sort narrow it further.
  • Recent on the left shows what you uploaded lately.
  • In the page builder, choose Choose from media on an image or video block to pick from your library.
  • To link to a file (for example, a PDF from a download button), open the file and copy its link.

Check your storage

Storage used at the bottom of the left panel shows how much space you've used. Click View storage details for more, or open the Storage & Delivery tab.

Tips for fast pages

File Best choice
Photos JPG or WebP, around 2000px wide at most
Logos and graphics with a see-through background PNG or SVG
Video A compressed MP4. For long videos, an embed from YouTube or Vimeo can be easier
Worksheets and guides PDF

Crop images to the shape you need before uploading, so they don't get cut off oddly on the page.

Check it worked

  • Your new file shows under All Media and Recent, and inside the folder you uploaded it to.

If something's off

  • A file won't upload: check the type and size, refresh, and try again. Try a smaller or compressed version.
  • An upload seems stuck: check Status on the left for Processing or Failed.
  • You can't find a file: clear the search and filters, then check other folders.
  • An image disappeared from a live page: it was probably deleted from the library. Upload it again and reselect it on the page.

Check before you delete

Deleting a file that's in use breaks it on every page and email that uses it. Replace it on those pages first, then delete the old one.
