Refund a payment
Give a client their money back in Stripe, confirm it shows in Flourivate, and tidy up any access or automations.
Refunds happen in your Stripe account, because Stripe holds the money. Flourivate then shows the payment as refunded. You also refund your own $1 test purchases this way.
Before you start
- Time: 5 minutes.
- You'll need: your Stripe login, and the client's name, email or payment ID.
Step 1: Find the payment
- In Flourivate, go to Payments > Txns.
- Search for the client. Click the payment to open Transaction Details.
- Copy the Transaction ID, and note the amount and date.
Step 2: Refund it in Stripe
- Sign in to your Stripe dashboard. Make sure you're in live mode, not test mode, for a real payment.
- Go to Payments (or Transactions) and search for the transaction ID or the client's email.
- Open the payment and click Refund.
- Choose the full amount or a partial amount, pick a reason, and confirm.
Stripe sends the money back to the client's card. It usually takes 5 to 10 business days to appear on their statement. Stripe's processing fee on the original payment usually isn't returned to you.
Step 3: Check Flourivate caught up
- Back in Flourivate, click Sync All at the top of Payments.
- In Txns, filter All Status to Refunded. The payment should be there, and the Refunds card should include it.
Step 4: Tidy up
A refund doesn't undo everything else the purchase started. Check each of these:
- Course or program access: remove the client from the course if they shouldn't keep it. See Manage your course members.
- Subscriptions: a refund doesn't cancel future charges. Cancel the subscription too. See Set up recurring billing and check on subscriptions.
- Automations: stop any follow-up emails meant for buyers, for example by removing the purchase tag your workflow added.
- Appointments: if the payment was for a booked session, cancel the appointment in Calendar > Appointments.
Write a short note
Let the client know the refund is on its way and roughly when it'll land. It saves a worried email later.
Check it worked
- Stripe shows the payment as refunded.
- Flourivate shows it as Refunded in Txns.
If something's off
- The refund doesn't show in Flourivate: click Sync All and refresh. If it's still missing after an hour, send us a request with the transaction ID.
- The Refund button is missing in Stripe: the payment may already be refunded, or still pending. Check its status in Stripe.
- The client paid offline: refund them the same way they paid you (bank transfer, check). There's nothing to refund in Stripe.
- The client disputed the charge with their bank: that's a chargeback, not a refund. It shows as Disputed in Txns. Respond to it in Stripe under Disputes.
