Accept bank transfers, checks and other offline payments

Last reviewed October 21, 2026

Add payment options like bank transfer, Zelle or check, with instructions your client sees after checkout, and record the payment when it arrives.

Some clients prefer to pay by bank transfer, check or an app like Zelle or Venmo. Offline payment methods let you offer that. Your client sees your instructions after checkout, pays you directly, and you mark the order paid.

Before you start

  • Time: 5 minutes per method.
  • Have ready: the exact instructions for each method, such as the name and handle for Zelle, or a mailing address for checks.

Think before you post bank numbers

Instructions are shown to anyone who checks out. For a bank transfer, consider writing "Reply to your confirmation email and I'll send bank details" rather than listing account numbers.

Step 1: Add a method

  1. Go to Payments > Methods. You'll see Manual Payment Methods.
  2. Click + Add Method.
  3. Name: what the client picks, for example "Zelle" or "Check by mail". Required.
  4. Instructions: what to do, for example "Send payment to hello@yourpractice.com through Zelle and include your full name." Required. These show on the order confirmation page.
  5. Leave Active on.
  6. Click Add Method. It stays greyed out until Name and Instructions are filled in.

Each method shows as a row with an on/off toggle, an edit (pencil) icon and a delete (bin) icon. Drag the handle on the left to change the order.

Step 2: Record the payment when it arrives

When the money lands:

  • For a checkout order: go to Payments > Orders, find the order, click Mark Paid, choose the method, add a reference (like the check number) and click Confirm Payment. See Review orders and abandoned checkouts.
  • For an invoice: go to Payments > Invoices, open the invoice's ⋯ menu and choose Record Payment or Mark as Paid. See Send an invoice and record payments.

Only mark something paid once you can see the money.

Check it worked

  • The method shows in Manual Payment Methods with its toggle on.
  • Place a test order and choose the method. Your instructions should show on the confirmation page.

If something's off

  • A method doesn't show at checkout: check its toggle is on.
  • You want to stop offering one for a while: turn its toggle off instead of deleting it.
  • Access or automations didn't start after an offline payment: automations that wait for a card payment may not run for offline ones. Give access by hand, for example with a portal invite. See Invite clients and give them course access.
