Manage your course members
See who's enrolled and how far they've got, enroll a list of existing clients at once, and remove a course or portal access when needed.
Once clients are in, you'll want to know who's engaged, who's stalled, and how to give or take away access. It all starts on the Members tab.
Before you start
- Time: 5 minutes.
- At least one client enrolled in a course. See Invite clients and give them course access.
See everyone at a glance
- Go to Learning > Members. You'll see the Member Directory.
- Each row shows the member's name, email, how many courses they're in, when they were last active, their XP and their level.
- Use Search by name or email... to find someone, or Sort by XP to see your most active members first.
- Click a member to open their details on the right, including their progress in each course.
The directory only lists people enrolled in at least one course. It's a filtered view of your contacts, not a separate list. Someone with a pending invite won't show until they accept.
See progress in one course
- Go to Learning > Courses and click the course.
- Open the Students tab to see who's enrolled in this course.
- Open the Analytics tab for how the course is doing overall.
You can also see progress from Learning > Classroom: pick the course and click Show students under Student Progress.
For a view across all your courses and community, Admin > Analytics and Admin > Retention show completion and engagement trends.
Use it to reach out
Scan the last active dates. A client who hasn't logged in for two weeks may need a short, kind check-in more than another reminder email.
Enroll several clients at once
Bulk Enroll gives a list of people access to a course in one go.
- Go to Learning > Courses and click Bulk Enroll.
- Upload a CSV file with two columns,
emailandcourse_id. The course ID is the long code at the end of the course's address when you open it. - Click Enroll (the button shows how many rows it read).
The screen explains what happens next: active portal members are enrolled right away, and anyone else gets a portal invitation at their own email and is enrolled when they accept.
Remove access
Open the member from Learning > Members. There are two different actions:
| You want to | Do this | What happens |
|---|---|---|
| Take away one course | Use the remove option next to that course in their details. | They lose that course. They can still sign in and keep other courses. |
| Remove them from your portal | Click Remove. | They lose portal access and every course in this workspace. |
Either way, their contact record and history stay in Flourivate. Choose carefully: removing them from the portal when you meant one course means re-inviting them.
Check it worked
- A newly enrolled client shows in Member Directory and on the course's Students tab.
- After removing a course, it no longer shows in their details.
If something's off
- A client is missing from Members: they haven't accepted their invite yet, or they're not enrolled in any course. Check Manage > Portal for pending invites.
- Someone from your Bulk Enroll list doesn't see the course yet: they were sent a portal invitation. They get the course once they accept it.
- A client's name or photo looks wrong: clients can't change their profile photo or display name right now. See Known issues.
