Send an email campaign
Send a newsletter or announcement to a group of contacts, with a test first and the right habits for a small list.
A campaign is one email sent to a group of people at once, like a monthly newsletter or a workshop announcement. When you're done, it will be sent (or scheduled) to the right people, and you'll know how to check it went out.
Before you start
- Time: 20 minutes, plus writing time.
- Email sending is set up, ideally on your own domain. See Set up sending email for your workspace.
- Your email is ready as a template. See Create an email template.
- Your audience is tagged. For example, everyone who opted in to your newsletter has a "Newsletter" tag. See Find contacts with filters and lists.
Small list? That's an advantage
Most coaches send to a few dozen to a few hundred people. Small, warm lists get much better open rates than big cold ones. Protect that:
- Send only to people who asked to hear from you (a sign-up form, a booking, a purchase).
- On a new domain, start with your 20 to 50 most engaged clients, then widen over a few weeks. See Keep your emails out of spam.
- Pick a rhythm you can keep, like every other Tuesday. Steady beats frequent.
- Write like a letter from you. Plain, personal emails often outperform heavy designs.
Steps
- Open Campaigns. In the sidebar, under MARKETING, click Campaigns. If you see the banner "This feature needs phone & sms", you can ignore it for email. It only matters for text campaigns.
- Start a new one. Click New Campaign, then Email Campaign ("Design and send an email to your contacts").
-
Campaign Setup (step one of two):
Field Tip Campaign Name Only you see it. Use the date: "Newsletter Nov 2026". From Name Shows in the inbox. Your name or your practice name. From Email Type the part before the @ (for example hello), then pick your sending domain from the list.Reply-To Email Optional. Where replies go, if not the From Email. -
Choose when it sends under Scheduling:
- Save as Draft to finish it later.
- Schedule to send at a specific time.
- Send Now to send right away.
- Optional: Only send during selected hours. A large send pauses at the cutoff and picks up in the next window.
- Choose who receives it under Who will receive this campaign?: All Contacts, By Tags, Contact Lists or Individual Contacts. Pick a tag or list, not everyone. Estimated Recipients shows how many are selected, eligible and excluded. Unsubscribed and Do Not Contact contacts are excluded automatically.
- Click Continue to the Design Email step and build your email there, starting from your saved template. Give it a short, specific subject line.
- Send a test to yourself. Open it on your phone. Check the subject, the first name, every link and the unsubscribe link at the bottom.
- Finish with the schedule you picked. A campaign saved as a draft doesn't send until you schedule it or send it.
Sending can't be undone
Once a campaign starts sending, it goes to real inboxes. Read the audience one more time before you send.
Check it worked
- On All Campaigns, click the Email filter. Your campaign shows a status of Scheduled, Sending or Sent, with the number of recipients.
- After it sends, open ⋮ > View Report on its card. See See how your campaigns performed.
If something's off
- The campaign is stuck as a draft. It needs a schedule or a send. Open it from the list and finish the last step.
- It says Funding needs attention. Email, texts, calls and AI use your workspace's usage credits. If something stops sending, check your balance and add credits. See Add usage credits.
- Not everyone has received it yet. On a new domain, warm-up limits how much goes out each day, so the rest can go out over the next days.
- Fewer recipients than contacts with the tag. People who unsubscribed, bounced or are marked Do Not Contact are skipped. That's what you want.
- Clicking the campaign name opens an editor, not the results. Use ⋮ > View Report for results.
- A campaign shows Failed or Failed / Partial. See Find out why an email didn't send.
- To reuse a campaign, open ⋮ > Duplicate and check the copy's audience and date before sending.
