Send a text message campaign
Text a group of clients who've agreed to hear from you, with a test, the right time window and a STOP line.
A text campaign sends one message to a group, for example "Two spots opened for Thursday's group session." Texts get read fast, so they're best for short, timely notes to people who've asked for them.
Before you start
- Time: 15 minutes.
- Your number is approved for texting. In the US, business texting needs carrier registration (A2P 10DLC, or toll-free verification). Campaigns can be blocked until it's approved. See Register your business for texting (A2P 10DLC).
- Your recipients agreed to get texts from you, and you can show how (for example, a ticked consent box on your intake form or checkout). Tag them so you can pick them as a group. See Collect text consent and handle opt-outs.
Consent first, every time
Only text people who opted in to texts. A client's phone number on file is not permission. Texting without consent can get your number blocked and break texting laws.
Steps
- Open Campaigns. In the sidebar, under MARKETING, click Campaigns.
- Start a new one. Click New Campaign, then SMS Campaign.
- Name it (only you see this) and choose the From number.
- Choose the audience. Pick the contacts with your texting tag. Contacts without a valid mobile number, who replied STOP, or who are marked Do Not Contact are skipped.
-
Write the message. Keep it short and start with your business name. End with how to opt out. For example:
Dana Lee Coaching: Hi {{contact.first_name}}, two spots opened for Thursday's 6pm group. Reply YES to grab one. Reply STOP to opt out. -
Check the segment count. About 160 characters fits in one text. Emoji and some symbols use more room. Longer messages are split and cost more.
- Send a test. Enter your own mobile number and click Send Test. If your message uses a merge field like a first name, pick a sample contact first so the test shows real details.
- Set the timing. Pick a date and time (it uses your workspace time zone), or leave it unscheduled to keep a draft. For bigger sends, turn on Only send during selected hours, for example Monday to Friday, 9 AM to 6 PM.
- Save, then send now or let the schedule run.
Send windows are same-day only
The end time must be later than the start time on the same day. 8 AM to 5 PM works; 8 PM to 6 AM doesn't. If a send isn't finished by the end of the window, it pauses and picks up in the next window.
Check it worked
- On All Campaigns, click the SMS filter. Your campaign shows its status and, after sending, Recipients, Delivered and Failed.
- Replies come back to Conversations like any other text. See Read and reply to messages in your inbox.
If something's off
- There's no SMS Campaign option, or it won't send. Your number may not be approved for texting yet, or your workspace doesn't have one. Ask us.
- Send Test is greyed out. Check the test number, the From number, that the message isn't empty, and that you picked a sample contact if you used merge fields.
- It sent at the wrong time. Check the time zone in your workspace profile.
- It's been sending for hours. Large sends take time, and a send window pauses it overnight.
- Some people didn't get it. Check their number, whether they replied STOP, and the Failed count. "Sent" doesn't always mean every text was delivered.
- It says Funding needs attention. Email, texts, calls and AI use your workspace's usage credits. If something stops sending, check your balance and add credits. See Add usage credits.
