Create an email template
Build a branded email once in the email builder, then reuse it in campaigns and automations.
A good template saves you from rebuilding your newsletter or welcome email every time. When you're done, you'll have a saved, previewed template ready to pick in a campaign or workflow.
Before you start
- Time: 20 to 40 minutes for your first one.
- Have ready: your logo, one or two images (compressed, under about 1 MB each), and your wording.
- You can design templates before email sending is set up, but you can't send them until it is. See Set up sending email for your workspace.
Step 1: Start a new template
- Go to Email > Templates. (Campaigns > Templates shows the same list.)
- Make sure Saved Emails is selected. The other tabs are Template Library (prebuilt designs) and Snippets.
-
Click New Template. The Create New Template window asks how you'd like to start:
Option Best for Create from blank You know what you want and like a clean canvas Create with AI Describe the email in a sentence or two and get a first draft Start from a template Pick a prebuilt design and swap in your words and colors
Step 2: Design it
The builder opens with Back, Autosave on and Design / Code at the top left, the template name in the middle, and Preview and Save Template at the top right.
- Give it a clear name (for example "Monthly newsletter" or "Welcome to coaching").
- Build the layout in Design view. Layouts are made of sections, rows (one or more columns) and blocks (text, image, button, divider, spacer).
- Add your content. Keep paragraphs short. Use one main button with clear words, such as Book your session.
- Personalize it with merge fields, for example
{{contact.first_name}}for the client's first name. - Check every link. Click each button and linked text, and make sure the address is complete and starts with
https://.
Write for the person, not the inbox
A short note that sounds like you ("Hi Sam, here's what I'm thinking about this month") lands better than a busy design. Avoid an email that's one big image: many inboxes hide images at first, and spam filters distrust image-only emails.
Step 3: Preview and save
- Click Preview and switch between Desktop and Mobile. Most clients will read it on a phone.
- In preview, merge fields show as written (for example
{{contact.first_name}}). That's normal. They fill in when the email sends. - Click Save Template. The builder autosaves as you work, but clicking Save Template before you leave is the safe habit.
- Send a test to your own inbox from the campaign or workflow that will use it, and check it on your phone.
Organize your templates
- Folders: under Folders, click Add Folder, then use a template's ⋯ menu > Move to Folder.
- Find one: use Search saved templates... or change the sort (default Newest first).
- Card menu (⋯): Edit, Edit HTML, Unpublish, Duplicate, Move to Folder and Delete.
Check before you delete or unpublish
Campaigns and automations may be using a template. Duplicate it and edit the copy if you're unsure.
Already have HTML from another tool?
If a designer gave you an HTML email, open the template and switch to Code. The code is Locked (read-only) until you click Edit HTML. Fill in Subject Line and Preheader (preview text), paste your code into HTML Body (or use Import HTML), and check the Live Preview. Under the editor, Flourivate tells you if a merge tag isn't supported, and adds an unsubscribe footer automatically if your HTML doesn't have one. Scripts and forms are removed for security.
Check it worked
- The template shows under Saved Emails, in the right folder, with your latest changes.
- A test email looks right on your phone and your links work.
If something's off
- You can't find a template. Click All under Folders and clear the search.
- Changes didn't save. Reopen the template. If your edits are missing, make them again and click Save Template before clicking Back.
- An image won't upload. Make it smaller (under about 1 MB) or save it as a JPG or PNG and try again.
- A name shows blank in the test. The test contact has no first name saved. Try a contact with full details.
- The builder says "This page did not finish loading." Flourivate has probably been updated. Hold Shift and click reload.
