Collect text consent and handle opt-outs
Record who agreed to get texts, write texts that follow carrier rules, and make sure STOP always works.
Before you text a client, you need their permission, and every text has to identify you and offer a way out. Getting this right keeps your registration approved and your clients' trust intact. When you're done, you'll have a consent field, an opt-in checkbox on your forms, and texts that follow the rules.
Before you start
- Time: about 30 minutes.
- You'll need: your exact consent wording from your texting registration. The checkbox text on your forms should match it word for word.
The rules for every text
- Start with your registered business name, for example "Maple Coaching: Your session is Tue Oct 21 at 2:00 PM."
- Include an opt-out line, for example "Reply STOP to opt out."
- The first text someone gets should also say "Msg frequency varies. Msg & data rates may apply. Reply HELP for help." That doubles as their opt-in confirmation.
- Only text people who opted in, and only about what they agreed to.
- Consent is optional and unchecked by default. Never make texting a condition of booking or buying.
- No public link shorteners. Use your full web address.
Step 1: Create a consent field
- Go to Settings and open the Custom Fields card under Data & Records. Add a contact field.
- Choose type Checkbox and name it clearly, for example "SMS Consent (Sessions)".
- Save it. For more on fields, see Tags and custom fields, in plain terms.
Step 2: Add the consent checkbox to your forms
- Open the form (or checkout form) where people give their phone number.
- Add a checkbox field that saves to your consent field.
- Use your registered consent wording as the label, for example: "Yes, text me appointment reminders from Maple Coaching. Msg frequency varies. Msg & data rates may apply. Reply STOP to opt out, HELP for help."
- Add links to your Privacy Policy and Terms in the help text.
- Leave it not required and unchecked by default. Save the form.
Checkout forms record consent only when the box is ticked. See Send form answers to the right contact fields. On booking calendars, the checkbox is a custom question that saves to your consent field. See Ask questions when clients book.
Known issue with booking questions
Custom questions added to a booking calendar aren't showing on the booking form right now, so a consent checkbox there won't appear. Collect consent on an intake form or checkout form in the meantime. See Known issues.
Step 3: Only text people who agreed
In any workflow that sends texts, add a Condition before the first Send SMS step: consent field is not empty (or the contact has your opt-in tag). People without consent skip the texts. Send appointment reminder texts shows this step by step.
Step 4: Check opt-out handling
- Go to Phone System > Setup > Messaging (under Manage Phone System).
- Under Opt-Out Handling, make sure Auto-handle opt-out keywords (STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT) and Auto-handle opt-in keywords (START, YES, UNSTOP) are both on. They're required by carriers.
- Read the STOP reply message and HELP reply message. Each should name your business. HELP should say how to reach you.
- Optional: turn on Enable quiet hours so outbound texts wait until morning. Incoming texts still arrive.
Step 5: Review consent and your Do Not Call list
- Click Consent under Manage Phone System.
- The cards show Consents Given, Opted Out and Pending. TCPA Consent Tracking lists each contact's status.
- To block a number from calls, scroll to Do Not Call List, click Add Number, enter it with + and the country code (for example
+15551234567), pick a Reason and click Add to DNC.
Check it worked
- Submit your own form with the box ticked. Your contact record shows the consent field checked.
- Text the word STOP to your Flourivate number from your mobile. You get the STOP reply, and Consent shows you as Opted Out. Text START to opt back in.
If something's off
- A client still gets texts after replying STOP: check Auto-handle opt-out keywords is on, then look for them under Opted Out.
- The consent field stays empty after a form: the checkbox isn't saving to the consent field. Open the form and check where the answer saves.
- A buyer's consent didn't carry over from checkout: if their phone number is already on another contact, Flourivate won't attach it to the new one. Check for a duplicate contact.
- Number won't add to Do Not Call: use the full format with +, country code and no spaces.
- Someone asks you to stop all contact, not only texts: see Stop contacting someone.
