Check your team's availability and workload
See who on your team is bookable, who still needs hours set, and how full everyone's week is.
If other practitioners or an assistant take bookings in your workspace, Team Capacity shows at a glance who has a personal schedule and how full their week is. It's a view for reading. It never moves or reassigns anyone's appointments.
Bookable times come first from each session type's Hours tab. A personal schedule is the backup when a booking page still shows no times. See Set when clients can book you.
Before you start
- Time: 5 minutes.
- You need: your team added as users in your workspace.
- Solo practice? You may only need this tab once, if your booking page shows no times and you need to add your personal schedule. See Set when clients can book you.
Steps
- Go to Calendar > Team Capacity.
- Check the date range at the top. Use Today and the arrows to move between weeks.
-
Read the four totals:
Total What it tells you Team Members How many people are included. Available Hours Bookable hours across the team for the range. Booked Hours Hours already taken by appointments. Utilization The share of available hours that are booked. Green is under 70%, yellow is 70% to 90%, red is over 90%. -
Scroll to Daily Capacity Overview to see open slots and how full each day is.
- Under Team Member Availability, look for anyone showing No schedule. A count at the top, like "2 need availability setup", tells you how many.
- If that person's booking page shows no times, click Set Up next to their name. Click Add Hours, set a Start Time and End Time, keep Available on, and click Save Schedule. Repeat for each day they work.
- Read Smart Suggestions for tips, such as someone with a very full week. Until you have more bookings it says "Not enough booking data to make suggestions".
Add hours directly
The templates under Availability Templates on My Availability aren't filling schedules right now. Add each person's hours row by row instead.
Reading utilization like a practitioner
A full calendar isn't always a good one. If someone is sitting in the red week after week, it may be time to close a few slots, add blackout dates for rest, or move a session type to another team member. A team member in the low numbers may need their booking link shared more widely.
Check it worked
- Each person's booking page offers times on the days they work, in a private-window test.
- Anyone whose page needed a personal schedule no longer shows No schedule.
If something's off
- A team member is missing: check they're a user in this workspace, and that you're in the right workspace.
- Available hours look wrong: this tab counts personal schedules. Check that person's day rows and blackout dates, and that you're looking at the right week. Their session types' Hours can still offer times that don't show here.
- Utilization looks too high or low: compare the booked appointments on Calendar View with their hours for the same week.
- A day shows no coverage: nobody has a personal schedule that day. If clients can still book through a session's Hours, that's fine. Otherwise add hours, or treat the day as closed.
