Set confirmations, reminders and calendar defaults
Choose whether clients get a confirmation and reminders, when reminders go out, and how your calendar looks and behaves.
These settings decide what your clients hear from you after they book, and how your own calendar looks each morning. Set them once and you rarely need to come back.
Before you start
- Time: 10 minutes.
- You need: your time zone set in Settings > Workspace Profile. Every booking and reminder runs on it.
- Decide: do you want reminders by email, text, or both, and how far ahead?
Steps
- Go to Calendar > Settings.
- Under General Settings, choose:
- Default View: the view Calendar opens in (month, week or day).
- Week Starts On: Sunday or Monday.
- Time Format: 12 hour or 24 hour.
- Under Working Hours, set Start Time and End Time. Turn on Show Working Hours to shade them on your calendar.
- Under Appointment Defaults, set:
- Default Duration: the length new appointments start with.
- Auto-Confirm Appointments: on means new bookings are confirmed right away.
- Send Confirmation Emails: on means clients get an email when they book.
- Under Notifications, set:
- Email Reminders: on or off.
- SMS Reminders: on or off.
- Reminder Time: how long before the session the reminder goes: 1 hour before, 2 hours before, 1 day before or 2 days before.
- Click Save Changes.
Working Hours here don't decide who can book you
The hours on this tab shade your calendar view. The times clients can book come from each session's Hours tab and your personal schedule. See Set when clients can book you.
Text reminders and consent
The built-in SMS Reminders text everyone who booked with a phone number. It doesn't check whether they agreed to receive texts. If your texting is set up with a consent checkbox, send reminders through an automation that only texts people who ticked it, and leave SMS Reminders off here. See Send appointment reminder texts.
Want branded emails?
The built-in confirmation email uses a plain, generic layout. If you'd like confirmations and reminders in your own colors and voice, with a "Join the call" button and a reschedule link, you can set them up as automations. See Send branded booking confirmations and reminder emails. Once those are on, turn off Send Confirmation Emails and Email Reminders here and click Save Changes, so clients don't get two of each.
Time between sessions and last-minute bookings
Buffer time and minimum notice aren't on this tab, or on a session's Hours tab. Two ways to protect your energy in the meantime:
- Shorten the session's hours on its Hours tab so the day ends before you're tired. See Set when clients can book you.
- Block off time right after sessions that tend to run long. See See, reschedule and cancel your appointments.
If you need a true buffer or a "no bookings within 24 hours" rule, send us a request and we'll help you set it up.
Check it worked
- Reload the Settings tab. Your choices are still there.
- Book a test session with your own email. You get the confirmation (if it's on), and the reminder arrives at the time you chose.
If something's off
- Save Changes is greyed out: you haven't changed anything yet.
- No text reminders: check SMS Reminders is on, and that texting is set up for your workspace.
- Clients get two confirmations: both the built-in email and an automation are on. Turn one off.
- Reminder times look wrong: check your time zone in Settings > Workspace Profile.
- The Google Calendar card here says Connected but the Sync tab doesn't: trust the Sync tab. See Sync with Google Calendar.
