Set your call greetings and voicemail
Choose what callers hear before a call connects, set after-hours and holiday messages, and write your voicemail greeting.
A short greeting tells callers they've reached the right place. Flourivate has two kinds: a pre-call greeting that plays before the call is routed, and a voicemail greeting that plays before someone leaves a message.
Before you start
- Time: about 10 minutes.
- You'll need: the words you want callers to hear. Greetings are typed text that Flourivate reads aloud. Keep them under 15 seconds.
Steps
Add a pre-call greeting
- Go to Phone System > Settings and scroll to the AUDIO section, Pre-call Greetings.
- Click New Pre-call Greeting.
- Enter a Greeting Name, such as "Main welcome".
- Pick a Greeting Type (see the table below).
- Type the Message Text, for example "Thanks for calling Maple Coaching. Connecting you now."
- Leave Active on and click Save Greeting.
Greeting types:
| Type | Plays |
|---|---|
| Welcome | On every call |
| Business Hours | During your business hours |
| After Hours | Outside your business hours |
| Holiday | On the dates you set |
For a holiday greeting, save it first, then edit it to set the start and end dates. The card shows them as Active: with the date range.
Set your voicemail greeting
- On Phone System > Settings, find Voicemail Greeting (above Pre-call Greetings).
- Type the greeting callers hear before they leave a message, for example "You've reached Maple Coaching. I'm with a client right now. Please leave your name and number and I'll call you back today."
- Optional: to use your own recording, paste a public link to an MP3, WAV or M4A file in Voicemail Greeting Audio URL. It plays before the text greeting.
- Save.
Write it the way it sounds
Text-to-speech reads exactly what you type. Spell tricky names the way they're said, and write out web addresses ("maple coaching dot com").
Check it worked
- The greeting card shows the right type, text and dates, with its switch on. Press the play button on the card to hear it. (It plays out loud.)
- Call your number from your mobile and listen.
If something's off
- Callers hear two messages: that's expected if you have both. The pre-call greeting plays before routing and the voicemail greeting plays before voicemail.
- The holiday greeting plays on the wrong days: check the Active: dates on the card.
- Your audio file doesn't play: the link must be public and end in .mp3, .wav or .m4a.
- To stop a greeting without deleting it, use the switch on its card.
