Update many contacts at once
Select a group of contacts and tag them, add them to a list or pipeline, or message them, in one go.
After a workshop or an import, you'll often want to do the same thing to a whole group. The bulk bar applies one action to every contact you tick.
Before you start
- Time: 5 minutes.
- Narrow the list first with search, Tags, Lists or Advanced Filters. See Find contacts with filters and lists.
- Good to know: Email and SMS send real messages, and the other actions change contacts straight away.
Steps
- Go to Contacts and filter to the people you want.
- Tick the box at the start of each row, or the box in the header to select all the rows shown.
- Read the count in the bar that appears at the bottom, for example "12 selected". Make sure it's the number you expect.
-
Choose an action from the bar at the bottom:
Action What it does Add to List Adds everyone to a static list. Tags Adds or removes a tag. Add to Pipeline Puts everyone into a pipeline stage. See Track prospects in your pipeline. Edit Changes details for everyone at once. Email Sends one email to everyone. SMS Sends one text to everyone. Review Asks everyone for a review. More Enroll in Workflow, Assign to User, Export Selected (a spreadsheet of the people you ticked) and Delete Selected. -
Follow the prompts for that action and confirm.
- Click Clear selection when you're done, so the next action doesn't hit the same people.
Messaging a group
Email and SMS go to everyone you ticked, so check the count first. Mark anyone who opted out as Do Not Contact before you send (see Stop contacting someone (Do Not Contact)). For newsletters and announcements, an email campaign gives you a preview, scheduling and reporting. See Send an email campaign. Only text people who agreed to get texts from you.
Good uses for bulk actions
- Tag everyone who attended a workshop, so you can follow up.
- Add a set of past clients to a "Reconnect" list.
- Put a batch of new inquiries into your pipeline at the first stage.
Check it worked
- Open one or two of the contacts you selected and check the change, for example the new tag on their profile card.
- For a tag, filter by it with Tags. The count should match how many you selected.
If something's off
- The wrong people changed: select them again and reverse the action, for example remove the tag.
- The count is off: click Clear selection and tick again, or adjust your filter.
- You can't find export or delete: they're under More as Export Selected and Delete Selected. Delete removes the contacts, so export first if you might want them back.
