Set up your client pipeline
Turn the Opportunities pipeline into the path from first inquiry to signed client, with stages named the way you work.
A pipeline is the path someone takes from "I'm curious" to "I'm in". Flourivate calls each person on that path a deal or opportunity. When you're done, your stages match how people actually become clients in your practice.
Before you start
- Time: 15 minutes.
- Sketch your path on paper first. Most practices need four to six stages. More than that and you'll stop updating it.
A simple coaching pipeline:
| Stage | What it means | Win probability |
|---|---|---|
| Inquiry | They reached out or filled in a form. | 10% |
| Discovery call booked | A free call is on the calendar. | 25% |
| Proposal sent | You've shared your offer and price. | 50% |
| Thinking it over | They're deciding. | 75% |
| Client | They said yes and paid. Mark as Won. | 100% |
| Not a fit | Not now, or not right for them. Mark as Lost. | 0% |
Step 1: Open your pipeline
- Go to Opportunities in the sidebar.
- Open the Pipelines tab. Your pipelines are listed on the left under Pipeline Management, and the stages of the selected one on the right.
- Click the pipeline you want to change. Check its Active badge. If there are two with the same name, work on the Active one.
To rename the pipeline, open the ⋮ menu on its card and choose Edit. To start fresh, click + New.
Step 2: Set your stages
- Click + Add Stage.
- Enter a Stage Name, like "Discovery call booked".
- Set Win Probability (%): how likely someone at this stage is to become a client. It feeds the Weighted total on your board, so rough guesses are fine.
- Pick a Stage Color.
- For your "Client" stage, tick Mark as Won stage. For "Not a fit", tick Mark as Lost stage.
- Click Add Stage.
- Repeat for each stage.
- Drag the stages into order using the handle on each row.
- To rename an existing stage, click its pencil icon. To remove one you don't need, click its bin icon.
Before you delete a stage
Move any deals out of it first. Check the deal count on the stage row. It should be 0.
Step 3: Decide how people get in
- By hand: add a deal when someone reaches out. See Track prospects in your pipeline.
- In a batch: select contacts and click Add to Pipeline. See Update many contacts at once.
- Automatically: an automation can add a deal when someone fills in your inquiry form or books a discovery call, and move it when they pay. See Build your first workflow, or ask us to set it up.
Check it worked
- The stage list header reads "Drag to reorder" with the number of stages you made.
- On the Opportunities tab, with your pipeline chosen under Active Pipeline, the columns appear in your order.
If something's off
- You changed the wrong pipeline: the stage list follows the card selected on the left. Click the right card and check its badge.
- Add Stage stays greyed out: enter a Stage Name.
- Win rate looks odd: check that exactly one stage is marked Won and one is marked Lost.
- An automation stopped moving deals: it may point to a stage you renamed or deleted. Tell us which one.
