Import your contacts from a spreadsheet

Last checked October 21, 2026

Bring your client list from another tool or a spreadsheet into Flourivate, with every column landing in the right field.

When you're done, your existing clients and prospects are in Flourivate, tagged so you can tell where they came from.

Before you start

  • Time: 15 to 30 minutes, most of it tidying the spreadsheet.
  • You need: a CSV file (in Excel or Google Sheets, use "Save as" or "Download" and choose CSV). Under 30 MB and up to 10,000 contacts per import.
  • Every row needs an email, a phone number or a name.
  • Want to keep extra details, like "Program" or "Start date"? Create those custom fields first. See Tags and custom fields, in plain terms.

Get your spreadsheet ready

  1. Put one person per row, with column headings in the first row, like First Name, Last Name, Email, Phone.
  2. Remove duplicate rows and obviously old contacts.
  3. Check phone numbers include the country code if you'll text them.
  4. Add a column only if you'll use it. Fewer columns, fewer mistakes.
  5. Note who asked not to be contacted. You'll mark them after the import. See Stop contacting someone (Do Not Contact).

Use the template

In step 1 of the import, Download Template gives you a file with the headings Flourivate expects.

Step 1: Upload the file

  1. Go to Contacts and click Import.
  2. Import Contacts from CSV opens on step 1 of 5.
  3. Click Click to upload CSV file (or drag the file onto it).
  4. A message like "File loaded successfully. Found 120 rows with 6 columns" appears, and the import moves to the next step.

Step 2: Match your columns to fields

The screen reads Map CSV columns to contact fields. Each column in your file has a row with a dropdown.

  1. Check each suggestion. Flourivate guesses from your headings, so "Email Address" usually maps to Email (Primary) on its own.
  2. Change any that are wrong using the dropdown. Need a field that doesn't exist yet? You can create a custom field right from the dropdown.
  3. A single name column can go to Full Name (will be split), and Flourivate splits it into first and last name.
  4. Tick Skip on columns you don't want to bring in.
  5. Make sure at least one of email, phone or name is mapped.
  6. Check the count at the top, for example "5 mapped • 0 unmapped".
  7. Click Next. If a message box covers the button, wait for it to close.
Your column Map it to
Name (one column) Full Name (will be split)
First / Last First Name / Last Name
Email Email (Primary)
Phone or Mobile Phone (Primary)
Tags (several in one cell, separated by commas) Tags (comma-separated)
Company, Website, City The matching contact field
Anything else you'll use A contact custom field
Old IDs, notes you don't need Skip

Step 3: Choose import options

  1. Import Mode: how Flourivate handles people already in your contacts. Create new contacts only adds new people and leaves existing ones as they are.
  2. Default Lifecycle Stage: Lead for prospects. If you're importing paying clients, run them as a separate file with the stage you use for clients.
  3. Add Tags to All Contacts: pick a tag like "Imported Oct 2026" or "Past client". You'll be glad later.
  4. Assignment: leave on No assignment unless a teammate owns these contacts.
  5. Click Validate & Preview.

Step 4: Review and import

Check the preview for blank or jumbled fields. If something looks wrong, go Back and fix the mapping. When it looks right, finish the import.

Check it worked

  • Your contacts show on Contacts. Use the Tags filter with your import tag to see just this batch.
  • Open two or three contacts and check the name, email, phone and any custom fields landed in the right place.

If something's off

  • The file won't upload: it must be a CSV, under 30 MB, with no more than 10,000 rows. Split a big list into several files.
  • A field came in blank: that column was skipped or mapped to the wrong field. Fix the mapping and import that column again.
  • Fewer contacts than rows: rows with an email already in your contacts, or repeated in the file, are skipped rather than duplicated. Rows with no email, phone or name are skipped too.
  • You can't find the import: clear filters and check the Lists button says All Contacts. Check you're in the right workspace.
  • Moving from another platform with lots of data: the import window links to Migration Helper, which handles big imports with retries and a report. Or send us a request and we'll help plan it.

Importing doesn't give you permission to email

Only send marketing email to people who agreed to hear from you. An imported list of people who never opted in can hurt your email delivery for everyone.
