Manage your tasks and follow-ups
Keep every follow-up in one place, linked to the right person, and see what's due today on a board, list or calendar.
"Send Dana the worksheet." "Check in with Marcus after his interview." Tasks hold the promises you make in sessions, so they don't live on sticky notes.
Before you start
- Time: 2 minutes to add a task.
- To assign a task to someone else, they need to be a user in your workspace.
Add a task
- Go to Tasks in the sidebar.
- Click New Task at the top right (or + at the top of a column on the board).
- Fill in:
- Title (required): what needs doing, starting with a verb. "Email Dana the values worksheet".
- Description: any detail you'll need.
- Status, Priority and Type.
- Assignee: you, or a teammate.
- Due date: without one, the task won't show on the calendar view.
- Tags (optional).
- Click Create Task.
- Click the new task to open it, and under Related to click Add related contact to link the person. It then shows on their contact page under Tasks.
See what's on your plate
Pick a view at the top: Board, List, Calendar or Reports.
| View | Best for |
|---|---|
| Board | Seeing everything by status in columns: BACKLOG, TO DO, IN PROGRESS, WAITING and DONE. |
| List | Scanning and sorting, for example by Due Date (Asc). Overdue dates show in red. |
| Calendar | Planning your week. Each task with a due date sits on its day. |
| Reports | Looking back: tasks created and completed, overdue, and completion rate for the period. |
Narrow any view with Search tasks..., All Assignees, All Statuses, All Priorities and All Types, or the quick chips Overdue and Due Today. A good daily habit: open List, click Due Today, work down it.
Update a task
- Open it: click any task to open the side panel. Change the status, priority, assignee or due date there. Changes save as you make them.
- Break it down: under Subtasks, click Add. A progress bar shows how far along it is.
- Leave a note: use Comments, or attach a file under Files.
- Quick moves from the list: click ⋮ on a row for Move to To Do, Move to In Progress, Mark Done or Archive.
- Quick moves on the board: click ⋯ on a card for Open task, Move up, Move down or Mark complete.
There's no delete in these menus. Use Archive to take a task off your active list.
Let AI help
- AI Suggested Tasks proposes follow-ups, like a contact with no activity for two weeks. Click Add Task to keep one, or Dismiss.
- AI Actions at the top opens AI Task Creator (describe what needs doing, then Create Tasks), AI Prioritizer (Analyze Priorities) and AI Next Best Action (Get Suggestions).
AI features may use AI credits. Read suggestions before you accept them.
Check it worked
- Your task shows on Board and List, and on Calendar on its due date.
- On the linked person's contact page, it shows under Tasks and in Overview under Open Tasks.
If something's off
- A task is missing: clear the filters (Clear all next to Active filters:) and choose All.
- It isn't on the calendar: it has no due date. Open it and add one.
- The calendar month looks empty: use the arrows to move months, or click Today.
- Report numbers look off: Export includes archived tasks and tasks created in the period, so it won't match Tasks completed. Reports use a fixed time zone (America/New_York), so times may look shifted.
- You changed a task by accident: the side panel saves straight away. Change the field back.
