Teach and test your AI assistant

Last reviewed October 21, 2026

Give an assistant the facts about your practice, set its tone and length, test it safely, and review what it's been saying.

An assistant is only as good as what you teach it. This page covers adding knowledge, shaping how it talks, testing it before clients see it, and checking its conversations afterward.

Before you start

  • Time: 30 to 60 minutes the first time.
  • Write your knowledge as two blocks of text:
    1. The facts: who you serve, each offer with its price and length, how to book (the full web address), your policies (cancellations, refunds), and your top 10 questions with answers.
    2. Your voice: how you talk, words you use and avoid, and how to handle "it's too expensive" or "I'm not sure coaching is for me".
  • Remove anything private. Assistants can repeat whatever you give them.

Step 1: Add knowledge

  1. Go to AI Supercenter > Knowledge. You'll see three areas:
    • Workspace Knowledge: shared articles any assistant can use once attached.
    • Agent Training: content that belongs to one assistant.
    • Memory: facts the AI has picked up about your workspace.
  2. Select your assistant, then open Content and paste your facts block. Add your voice block as a second entry.
  3. Or, in the assistant's editor (Edit agent > Knowledge), use Add training with the URL, Content or Q&A tab. Changes there save straight away.
  4. To share an article across assistants, find it under Add from workspace knowledge and click + Attach.

Be careful with website crawling

The URL option crawls up to 200 pages of your site. If your site has client-only or unlisted pages, the assistant will learn those too. Paste content instead.

Knowledge belongs to each assistant. If you have a chat assistant and a phone receptionist, update both when your prices change.

Step 2: Set tone and length

  1. Go to AI Supercenter > Settings > AI Personality and create a New Profile linked to your assistant.
  2. Choose short replies (two or three sentences), a Friendly tone, one question at a time, and a call to action based on what the person wants.
  3. Save. Without a profile, assistants tend to write three to five sentences in a formal tone.

Leave the general-knowledge fallback off in the assistant's settings. Then it admits when it doesn't know and offers to connect them with you, instead of guessing.

Step 3: Test before you go live

Use made-up questions, never real client conversations.

Assistant Where to test
Chat Edit agent > Test & Deploy, or Test Chat on its card
Phone Phone AI > select the assistant > Test: Voice Conversation Test talks with it in your browser; Voice Preview plays a test phrase
Text Agents > SMS AI > Test SMS
Email Agents > Email AI > Test Email (it doesn't send anything)

Ask a set like this every time you change something:

  • "What do you do, and who is it for?"
  • "How much does coaching cost?"
  • Something off-topic.
  • "Can I talk to a real person?"
  • A real struggle your clients describe.

Check every price and link, and that it never pretends to be you.

Step 4: Review conversations

  1. On AI Supercenter > Agents, open Activity & Approvals to see each run, its status and any waiting for your approval. Use the Failed filter to find problems.
  2. Usage shows totals: runs, success rate, estimated cost and duration.
  3. For phone calls, also check Phone System > Activity.

When you spot a wrong answer, fix the knowledge, not only the one conversation.

Check it worked

  • Your test questions get correct, short answers with working links.
  • The assistant's card says Active, not Setup required.

If something's off

  • It repeats an old fact: check Memory for the stale fact and remove it, then check the knowledge text.
  • An attached article isn't used: it may be archived or show Indexing not confirmed. Attach a published one.
  • The phone assistant uses fewer articles than expected: once you attach any article to a phone assistant, it only looks up the attached ones.
  • Test buttons are greyed out: finish the setup steps listed on the assistant's card.
