Draft a workflow with AI

Last reviewed October 21, 2026

Describe the follow-up you want in plain words and let AI lay out the workflow, then check it before it runs.

If you know what you want to happen but not which steps to use, AI can draft the workflow for you. You still review every step and turn it on yourself.

Before you start

  • Time: about 10 minutes, plus writing your messages.
  • AI drafting uses AI credits. See AI credits and billing.
  • Have one or two sentences ready that name the trigger, the steps and the timing.

Steps

  1. Go to Workflows and click Create. The builder opens on a blank canvas.
  2. In the builder toolbar, click the icon labelled Generate with AI (hover over the icons to see their names). The Generate Workflow with AI box opens.
  3. Describe the workflow in Describe the workflow you want to build.... Be specific. For example:
    • "When someone submits my Free Guide form, add the tag guide-download, send a welcome email, wait 2 days, then send a follow-up email."
    • "Send an email reminder 24 hours before an appointment and a text 1 hour before."
  4. Click Generate. (It stays grey until you type something.)
  5. Review the draft on the canvas, step by step:
    • Click the trigger and pick the exact form, calendar, tag or product.
    • Click each message and rewrite it in your words.
    • Check every wait step's timing.
  6. Click Save. The workflow stays a draft and doesn't run yet.
  7. Test it with your own details, then switch it to Active.

Writing better prompts

Name the trigger ("when someone books", "when a payment comes in"), say what to send and when, and say when to stop ("stop if they book a call"). Short and specific beats long and general.

Workflows drafted by an AI assistant or the Flourivate team

Sometimes a workflow is drafted for you outside the builder, for example by the Flourivate team or a connected AI assistant. These arrive without an active trigger. Until you open them in the builder and click Save, the card says "Reusable workflow" and they won't start.

  1. Open the workflow from All Workflows.
  2. Click the trigger card and check it's the right trigger with the right filters.
  3. Click Save.
  4. Back on All Workflows, confirm the card shows the trigger name (for example Form Submitted), then switch it to Active.

Check it worked

  • The card shows Active and the trigger you expect.
  • A test run appears in the workflow's Enrollment History.

If something's off

  • There's no AI box on the Workflows list: AI drafting is inside the builder. Click Create first, then Generate with AI.
  • Generate is greyed out: type a description first.
  • AI drafting fails or is unavailable: your AI credits may be low. See AI credits and billing.
  • The draft uses texts but you can't text yet: delete those steps or wait until your texting registration is approved.
  • The drafted workflow never starts: see Find out why a workflow didn't run.
