Copy, export and import workflows

Last reviewed October 21, 2026

Duplicate a workflow, organize workflows in folders, and save or load a workflow as a file.

Once a workflow works, you'll often want a second version: a reminder for a different session type, or a backup before you change it. Here's how to copy, organize, export and import.

Before you start

  • Time: a few minutes.
  • To import, you need a workflow file (.json) that was exported from Flourivate. Files from other automation tools won't import.

Steps

Duplicate a workflow

  1. Go to Workflows > All Workflows.
  2. On the workflow's card, click the three-dot menu at the bottom right.
  3. Choose Duplicate. A copy appears in the list.
  4. Open the copy, rename it, change what's different (for example the calendar in the trigger), click Save and switch it to Active when ready.

Organize with folders

  1. Click Add Folder above the list and name it, for example "Bookings" or "Courses".
  2. On a workflow card, open the three-dot menu and choose Move to Folder.
  3. Use the folder chips above the list to switch between folders. All shows everything.

Export a workflow as a file

  1. Open the workflow card's three-dot menu.
  2. Choose Export JSON. The file downloads to your computer.

Delete is in the same menu

Delete is the last item, in red, right under Export JSON. Take a breath before you click.

Import a workflow file

  1. On All Workflows, click Import Exported JSON. Your computer's file picker opens straight away.
  2. Choose the .json file.
  3. The workflow appears in the list as a Draft.
  4. Open it and check every step that points at something in your workspace: forms, calendars, tags, products, email senders and phone numbers. Pick yours where anything is blank or wrong.
  5. Run one test, then switch it to Active.

Check it worked

  • The copy or import appears on All Workflows with its own name.
  • An imported workflow shows Draft until you turn it on.

If something's off

  • "Not a valid workflow export": the file didn't come from Flourivate, or it was edited. Ask whoever sent it for a fresh export.
  • Nothing happened when you clicked Import: you closed the file picker. Click the button again.
  • An imported step points at a missing form or calendar: recreate or reselect it, then save.
  • The duplicate runs alongside the original: both are active with the same trigger, so clients get two messages. Turn one off.
  • Want a workflow in another workspace? Use Copy To... in the same menu if you have access to both, or ask us to copy it for you.
